Our Privacy Policy

Welcome to Coach.Win. Your privacy is critically important to us. This Privacy Policy document outlines the types of personal information that is received and collected by Coach.Win and how it is used.

 

1. Information We Collect

We collect information directly from you when you choose to participate in our offers and programs or otherwise provide information directly to us. The types of information we may collect include your:

  • Name
  • Email address
  • Telephone number
  • Any other relevant information you choose to provide

2. How We Use Your Information

We use the information we collect primarily to provide, maintain, protect, and improve our current products and services. We use personal information collected through our site as described in this policy or on our site. Specifically, we may use your personal information to:

  • Communicate with you about our products and services
  • Enhance the operation of our site
  • Perform statistical, demographic, and marketing analyses of users of the site

3. Information we collect from QuickBooks (WinCFO users)

If you connect your QuickBooks Online account, we retrieve your Profit & Loss and Balance Sheet reports for the date range you select, and your company name. Our access is read-only — we never create, modify, or delete anything in your QuickBooks account.

We do not retrieve customer or vendor lists, invoices, bills, payroll records, bank or credit card details, or individual transactions. We retrieve summary reports only.

You can disconnect at any time, either from within WinCFO or from QuickBooks. On disconnect we delete our stored access credentials immediately. Conversions you have already run remain available to you — they are a snapshot of the figures at the time, not a live connection.

4. How we use artificial intelligence (WinCFO users)

We use Anthropic's Claude API in two places. Neither writes anything to your QuickBooks account.

Categorising your accounts. When you import financial data, we send the names of your account lines and their parent groupings — for example "Wages – Engineering" — so they can be mapped to the Simple Numbers financial model. No dollar amounts are sent. You review and can correct every mapping before any figures are calculated.

Interpreting what-if questions. When you ask a planning question in plain English, we send that question along with aggregated period totals — revenue, gross margin, labour, operating expenses and pre-tax profit for the period you selected. The model identifies what you are asking; all financial calculations are performed by our own software, not by the model.

We never send transaction-level detail, customer or vendor information, payroll records, or personally identifiable information for AI processing. Anthropic does not train on this data or retain it beyond the request.

5. Service providers

We share data with the following providers, each only to the extent needed to run the service:

Cloudflare — hosting and delivery. Receives all traffic to our service.

Supabase (hosted on AWS, US East) — our database. Stores your account, your financial data, and your encrypted QuickBooks credentials.

Anthropic — the AI features described above. Receives your account names, and aggregated period totals when you run a what-if scenario.

Resend — sign-in links and notifications. Receives your email address.

Microsoft — single sign-on, where used. Receives your email address.

HubSpot — customer relationship management. Receives your name, email, company, phone, address and industry.

Google Analytics — understanding how the service is used. Receives usage and device data.

Google Maps — address autocomplete on your profile. Receives address text as you type it.

We do not sell your data, and we do not share it with advertisers.

6. Security (WinCFO users)

Your QuickBooks access credentials are encrypted at rest using AES-256-GCM, with the encryption key held separately from the database — so a copy of the database alone cannot be used to reach your accounting data. All traffic is encrypted in transit using TLS. Database access is restricted to a dedicated least-privilege account with row-level security enabled. Sign-in links expire after 15 minutes and sessions after 24 hours.

7. Where your data is stored (WinCFO users)

In the United States. Our database is hosted in AWS US East. Our application runs on Cloudflare's global network, which may process requests near you, but stored data remains in the United States.

8. Retention and Deletion (WinCFO users)

We keep your account and your saved conversions until you ask us to remove them. QuickBooks access credentials are deleted as soon as you disconnect.

To delete your account and all associated financial data, email elevate@coach.win. We will action the request and confirm when it is complete.

9. Sharing Your Information

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.

10. SMS/Text Messaging

Coach.Win operates software applications including Rake Golf (rakegolf.com). If you provide your mobile number in one of our applications, we send transactional text messages only — login codes, score confirmations, schedule updates, and group notifications you request. Message frequency varies based on your activity; message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We never sell phone numbers or share them with third parties for marketing purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

11. Third-Party Links

Occasionally, at our discretion, we may include or offer third-party products or services on our website. These third-party sites have separate and independent privacy policies. We, therefore, have no responsibility or liability for the content and activities of these linked sites.

12. Changes to Our Privacy Policy

It is our policy to post any changes we make to our privacy policy on this page. The date the privacy policy was last revised is identified at the bottom of the page. You are responsible for ensuring we have an up-to-date active and deliverable email address for you, and for periodically visiting our website and this privacy policy to check for any changes.
